Administrative Coordinator
Our construction client is seeking an Administrative Coordinator to provide administrative and operational support to a busy team and help keep projects, documentation, and day-to-day office activities organized. This role is ideal for a detail-oriented, dependable professional who enjoys working in a fast-paced environment and coordinating with multiple teams, vendors, and project stakeholders.
Responsibilities
- Provide administrative support to project managers, operations teams, and office leadership.
- Prepare, organize, and maintain project documentation, contracts, correspondence, and records.
- Assist with project setup, tracking, and administrative coordination from start to completion.
- Coordinate meetings, schedules, appointments, and project-related communications.
- Track deadlines, deliverables, permits, invoices, and other time-sensitive items.
- Assist with purchase orders, invoices, expense reports, and vendor documentation.
- Communicate with subcontractors, vendors, clients, field teams, and internal departments.
- Maintain accurate project files and update information in internal systems.
- Prepare spreadsheets, reports, presentations, and other project materials.
- Assist with employee, subcontractor, and vendor onboarding documentation.
- Coordinate deliveries, office supplies, equipment, and other operational needs.
- Follow up on outstanding documentation and action items to keep projects moving forward.
- Handle confidential company and project information with professionalism and discretion.
- Provide additional administrative and operational support as needed.
Qualifications:
Qualifications
- 2+ years of experience in an administrative, project coordination, office support, or operations role.
- Previous experience in construction, engineering, property management, real estate, or a related industry is preferred.
- Strong organizational skills and exceptional attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple deadlines and priorities in a fast-paced environment.
- Proficiency with Microsoft Office, particularly Outlook, Word, and Excel.
- Strong follow-through and problem-solving skills.
- Professional and confident communication style when working with vendors, clients, and internal teams.
- Ability to work independently while also collaborating effectively with project and operations teams.
- Experience with construction or project management software such as Procore, Bluebeam, Sage, or similar systems is a plus.
Compensation
