Senior Administrative Assistant
Our client, a well-established real estate company, is seeking a Senior Administrative Assistant to provide high-level administrative and operational support to a busy team. This role is ideal for an experienced administrative professional who is highly organized, proactive, and comfortable managing multiple priorities in a fast-paced real estate environment.
Responsibilities
- Provide comprehensive administrative support to executives, managers, and the broader real estate team.
- Manage calendars, meetings, appointments, and scheduling across multiple stakeholders.
- Prepare correspondence, reports, presentations, spreadsheets, and other business documents.
- Coordinate internal and external meetings, including agendas, materials, and follow-up items.
- Maintain organized and accurate files, records, contracts, and property-related documentation.
- Assist with property, tenant, vendor, and client communications as needed.
- Track deadlines, renewals, invoices, contracts, and other time-sensitive items.
- Prepare and maintain spreadsheets, reports, and other tracking tools related to properties and business operations.
- Coordinate with property managers, brokers, vendors, contractors, clients, and internal teams.
- Assist with invoices, expense reports, purchase orders, and other administrative financial processes.
- Handle confidential information and sensitive business matters with professionalism and discretion.
- Help coordinate projects and special initiatives from planning through completion.
- Identify opportunities to improve administrative processes, organization, and efficiency.
- Provide additional operational and administrative support as needed.
Qualifications:
Qualifications
- 4+ years of experience in an administrative, executive assistant, office management, or related professional role.
- Previous experience in real estate, property management, commercial real estate, construction, or professional services is highly preferred.
- Exceptional organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Ability to prioritize competing deadlines and manage multiple projects independently.
- Proficiency with Microsoft Office, particularly Outlook, Word, and Excel.
- Strong document management, scheduling, and coordination skills.
- Professional demeanor with excellent interpersonal and client-service abilities.
- Ability to handle confidential information with discretion.
- Experience with Yardi, AppFolio, Salesforce, or other real estate/property management systems is a plus.
Compensation
