Position Summary:
Position supports the administration, maintenance and continuous improvement of organizational systems, business processes, reporting, and program infrastructure that support strategic initiatives and day-to-day operations. This position is responsible for the administration and optimization of key business platforms, workflow automation, cross-functional operational processes, and organizational reporting to ensure efficiency, scalability, and effective execution of priorities. The role independently manages system administration, process improvement initiatives, and operational projects while identifying opportunities to enhance organizational effectiveness and business performance. The position interacts with internal staff, external stakeholders, vendors, and partners to coordinate activities, resolve operational challenges, and support departmental objectives through effective systems administration, reporting and process coordination.
Duties and Responsibilities:
Systems Administration & Business Process Management
- Serve as a primary administrator and subject matter expert for organizational systems, including certification management platforms, manufacturing and operational workflow systems, reporting tools, and program management applications.
- Support the development, documentation and maintenance of system standards, operating procedures and best practices for assigned systems.
- Configure, maintain, and support enhancements to system functionality to meet evolving business needs.
- Monitor system performance and recommend enhancements that improve operational effectiveness.
- Collaborate with internal and external stakeholders to identify business requirements and support implementation of solutions.
- Identify and support automation strategies that reduce manual effort and improve operational efficiency.
- Troubleshoot system issues, resolve routine problems, and escalate complex matters as appropriate.
Program & Process Support
- Support the administration and execution of organizational programs and operational initiatives.
- Maintain project plans, milestones, and tracking methodologies for strategic initiatives.
- Monitor organizational priorities and communicate identified risks, bottlenecks, and dependencies.
- Develop recommendations and implement process improvements that increase efficiency and effectiveness.
- Partner with leadership to evaluate program performance and identify opportunities for operational enhancement.
- Coordinate recurring operational programs and support successful execution across stakeholders.
Automation & Business Systems Support
- Identify opportunities to improve operational efficiency through workflow automation, system enhancement and process improvement.
- Research and recommend AI-enabled emerging technologies to streamline workflows and enhance organizational efficiency.
- Analyze business needs and provide recommendations for appropriate technology-based solutions.
- Develop documentation, training materials and user guidance related to automation tools and business systems
Qualifications:
Bachelor’s Degree preferred with a minimum 3-5 years of experience in business systems administration, operations support, reporting, program coordination, business process improvement, or related fields.
Competencies:
- Experience administering business systems, databases, reporting platforms, or operational applications.
- Strong organizational skills and attention to detail.
- Ability to coordinate multiple projects and priorities simultaneously.
- Ability to analyze information and recommend operational improvements.
- Experience developing reports, dashboards, workflows, and procedural documentation.
- Working knowledge of workflow automation and business process improvement concepts.
- Proficiency with Microsoft 365, reporting tools, and business applications.
- Strong customer service, communication, and stakeholder support skills.
- Ability to work independently within established priorities and guidelines.
The current recruitment range for this role is $83,000 - 88,000
