Patient Services Supervisor

Position Description

Directs and supervises Patient Services staff in the processing of patients. Supervises scheduling of appointments, patient visits, the receiving of patients, and the maintenance of records; supervises processing of charges for clinic services, filing of insurance claims, responses to requests for information from patients and insurance companies and the maintenance of related information for the department. Responsibilities may include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems. Most work is performed according to established procedures; problems of an unusual nature are referred to supervisor.

Major/Essential Functions

  • Supervise day-to-day patient services operations across clinical sites, ensuring effective front office coverage, workflow efficiency, and consistent service standards.
  • Oversee appointment scheduling, patient registration, check-in and check-out, insurance verification, collections, and the accurate maintenance of patient records.
  • Develop and maintain the PSS staff schedule in alignment with clinic operations and staffing requirements.
  • Hiring, training, and monitors performance and productivity, provides ongoing feedback, coaching, and evaluations for PSS staff.
  • Address patient concerns and operational issues, supporting timely service and identifying opportunities to improve the patient and family experience.
  • Travel between clinic sites to provide visible, hands-on leadership and supervision of Patient Services staff.
  • Reviews data, prepares reports, and assist with procedure and policy implementation, process improvement, and overall clinic operations.
  • Provide direct support to the Department Administrator in the oversight of daily clinic operations.


Required Qualifications

High school diploma or equivalent, and one of the following:
  • Five (5) years of customer service experience, including at least two (2) years of supervisory experience. Experience in a clinic or physician's office is preferred.

OR
  • Three (3) years of experience with TTUHSC's Patient Services Program, including at least one (1) year of supervisory experience.


Preferred Qualifications

  • Experience in clinical setting
  • Bilingual English/Spanish
