Office Assistant
Responsibilities:
• Oversee everyday office operations by maintaining supplies, pantry stock, and shared spaces to ensure the workplace remains orderly and functional.
• Coordinate with external vendors, cleaning teams, repair providers, and building management to address facility needs and resolve issues promptly.
• Organize internal events, team gatherings, and workplace celebrations, including scheduling, catering, room preparation, and guest hospitality.
• Support employee onboarding and departures by arranging workstations, office access, parking, tours, and equipment return procedures.
• Assist with workspace planning by managing seating updates, office moves, furniture setup, and general layout improvements.
• Help maintain workplace safety standards by supporting drills, inspections, emergency preparedness activities, and compliance-related tasks.
• Provide administrative assistance to leadership, including meeting coordination, travel arrangements, call handling, and general clerical support.
• Partner with Human Resources and cross-functional teams on employee programs, operational projects, and additional office needs as business priorities change.
Qualifications:
• 3–5 years of experience in office coordination, workplace support, facilities assistance, or a similar administrative role.• Bachelor’s degree or equivalent practical experience in an office or business support environment.
• Strong proficiency with Microsoft Office applications, including Word, Excel, and Outlook.
• Demonstrated ability to manage receptionist duties, answer inbound calls, and complete clerical and administrative office tasks accurately.
• Excellent organizational skills with the ability to manage multiple priorities and follow through on details.
• Strong judgment and discretion when handling confidential or sensitive information.
• Ability to adapt quickly, work independently with limited direction, and take ownership of shifting priorities.
• Flexible, hands-on approach with a willingness to support both routine tasks and unexpected office needs.
Compensation
