Personal Assistant

We are seeking a highly polished and experienced Senior Personal Assistant to provide hands-on support to a high-level executive and help manage a wide range of personal, household, scheduling, travel, and administrative responsibilities.


This position is ideal for someone who is exceptionally organized, proactive, discreet, and comfortable operating in a fast-paced environment where priorities can change quickly. The successful candidate will be someone who anticipates needs, handles sensitive matters with professionalism, and takes ownership of ensuring day-to-day personal operations run seamlessly.


Responsibilities

  • Manage a complex personal calendar, including appointments, reservations, meetings, events, and recurring commitments.
  • Coordinate domestic and international travel, including flights, hotels, ground transportation, itineraries, and last-minute changes.
  • Handle personal appointments, dining reservations, entertainment plans, and special events.
  • Coordinate household-related needs, including vendors, service providers, repairs, deliveries, and maintenance appointments.
  • Manage personal correspondence, phone calls, emails, and time-sensitive requests.
  • Assist with personal shopping, gifting, returns, purchases, and special projects.
  • Coordinate family schedules, travel arrangements, and other personal logistics as needed.
  • Maintain confidential personal records, documents, contact information, and important household information.
  • Track deadlines, appointments, renewals, reservations, and other important commitments.
  • Assist with expense tracking, reimbursements, invoices, and personal administrative documentation.
  • Conduct research and provide recommendations related to travel, vendors, services, events, and personal needs.
  • Serve as a point of contact for household vendors, personal contacts, and outside service providers.
  • Handle errands and other time-sensitive personal requests when needed.
  • Anticipate upcoming needs and proactively resolve issues before they require the executive’s attention.
  • Maintain the highest level of discretion and confidentiality at all times.



Qualifications:

  • 5+ years of recent experience as a Personal Assistant, Executive Personal Assistant, Executive Assistant, Family Assistant, or similar high-level support professional.
  • Proven experience supporting a senior executive, entrepreneur, principal, or high-net-worth individual strongly preferred.
  • Demonstrated experience managing both professional and personal responsibilities.
  • Strong calendar management and travel coordination experience.
  • Exceptional organizational skills and attention to detail.
  • Ability to anticipate needs and work independently with minimal direction.
  • Excellent written and verbal communication skills.
  • Strong judgment and ability to handle confidential and sensitive information.
  • Professional, polished, and comfortable interacting with executives, vendors, family members, and outside contacts.
  • Ability to manage multiple priorities and remain calm when plans change unexpectedly.
  • Strong technology skills, including Microsoft Office, Outlook, and calendar and communication platforms.
  • Must be dependable, responsive, and comfortable with occasional flexibility outside of traditional business hours.
  • Must be based in the Miami area and able to provide in-person support when needed.
