Front Desk Coordinator
Responsibilities:
• Welcome guests, employees, and service providers with a courteous and attentive approach while directing inquiries to the appropriate contacts.
• Oversee the appearance and daily readiness of the reception area to ensure an orderly and well-maintained office environment.
• Arrange meeting spaces, coordinate shared resource scheduling, and support requests for catering and office transportation needs.
• Handle document production tasks such as printing, scanning, and preparing oversized materials when required.
• Provide first-level assistance with common office equipment issues and help coordinate technology-related support requests.
• Monitor inventory levels for workplace supplies, place orders as needed, and keep essential materials stocked and organized.
• Sort incoming mail and packages, distribute deliveries promptly, and prepare outgoing shipments accurately.
• Log facility-related concerns, follow up on service requests, and communicate progress updates to employees and stakeholders.
• Assist with office gatherings, employee engagement activities, team projects, and a variety of administrative assignments.
• Maintain internal office information, update shared resources such as SharePoint, and complete occasional business-related errands as needed.
Qualifications:
• Prior experience in front desk support, office administration, reception, concierge service, or a similar customer-facing role.• Strong verbal and written communication skills with the ability to interact professionally across all levels of the organization.
• Demonstrated ability to manage multiple priorities effectively in a busy office setting.
• Proficiency with Microsoft Office applications and confidence using general office systems and equipment.
• Experience handling multi-line phone systems, inbound calls, and day-to-day reception responsibilities.
• Comfortable troubleshooting basic issues with printers, scanners, scheduling tools, and other workplace technology.
• Highly dependable, organized, and attentive to detail, with the ability to work both independently and collaboratively.
• Notary Public certification is preferred, or willingness to obtain certification after joining the organization.
Compensation
