Bidding Coordinator

• Research and identify relevant bid, RFP, RFQ and proposal opportunities
• Conduct outreach to subcontractors, vendors, clients or partners to gather bid information and confirm participation
• Coordinate the bid process from initial opportunity review through submission support
• Track bid deadlines, requirements, contacts and status updates in internal systems
• Prepare bid packages, outreach emails, follow-up communications and supporting documentation
• Assist with collecting pricing, compliance documents, certifications and other required materials
• Maintain accurate records of outreach activity, bid responses and submission outcomes
• Collaborate with internal teams including sales, operations, estimating and business development
• Follow up with contacts to confirm receipt of requests and encourage timely responses
• Help ensure proposals are complete, compliant and submitted by deadline
• Monitor public and private bidding platforms for new opportunities
• Support post-bid communications and reporting as needed

Qualifications:

• 2+ years of experience in bid coordination, proposal coordination, outreach, sales support or administrative support
• Strong written and verbal communication skills
• Excellent organizational skills and attention to detail
• Ability to manage multiple projects and deadlines simultaneously
• Proficiency with Microsoft Office Suite, especially Excel, Word and Outlook
• Experience tracking information in CRM systems, bid platforms or databases
• Ability to work independently and collaboratively
