Receptionist
Our client is in need of an experienced and service-oriented Receptionist to support a busy office. This position is ideal for someone who enjoys creating a positive first impression, managing front desk operations, and assisting with a wide range of administrative needs. The role offers the opportunity to work in a detail-oriented environment where strong communication, organization, and attention to detail are essential to daily success.
Responsibilities:
• Welcome clients, guests, and delivery personnel with a courteous and friendly approach while maintaining an orderly front desk area.
• Manage incoming calls on a multi-line phone system, route inquiries to the appropriate team members, and record accurate messages when needed.
• Support visitor check-in activities and guide guests to the correct staff or meeting locations.
• Handle document-related tasks such as printing, scanning, copying, PDF preparation, and general administrative production support.
• Organize paper and electronic records, assist with filing needs, and help keep office supplies stocked and accessible.
• Process incoming and outgoing mail, shipments, and package deliveries in a timely manner.
• Coordinate conference room scheduling and assist with meeting logistics to ensure smooth daily operations.
• Provide support for events and client-facing functions by preparing materials, tracking responses, and helping manage schedules and communications.
• Assist with special projects and additional administrative assignments as business needs evolve.
Qualifications:
• At least 3 years of experience in reception, front desk support, customer service, or administrative assistance.• Demonstrated ability to manage a multi-line phone or switchboard system in an office setting.
• Strong verbal and written communication skills with a courteous demeanor.
• Proficiency with Microsoft Office applications, including Word, Excel, and Outlook, along with experience working with PDFs.
• Solid organizational skills with the ability to balance multiple priorities and maintain accuracy in a fast-paced environment.
• Experience with paper filing, document handling, and general office administrative procedures.
• Ability to handle sensitive information with discretion and maintain appropriate workplace conduct at all times.
• Previous experience in a services environment and familiarity with tools such as CCH Prosystem are considered a plus.
Compensation
