Event Coordinator
Responsibilities:
• Maintain complete and accurate auction records, including item descriptions, donor information, usage limitations, and supporting details.
• Track auction data in Excel and keep documentation current to support smooth event operations.
• Prepare, revise, and organize bidding materials so auction items are clearly presented and easy for attendees to navigate.
• Label, catalog, and monitor auction inventory to ensure each item is documented correctly before the event.
• Assist with event setup and day-of coordination, helping create a seamless experience for guests, participants, and stakeholders.
• Produce and update signage, displays, advertisements, and related promotional materials using Canva and Microsoft Word.
• Review event and marketing content carefully to ensure consistency, correct grammar, and a strong final presentation.
• Monitor timelines, follow up on outstanding deliverables, and help keep event milestones on schedule.
• Support post-event activities by confirming payments, coordinating item pickup, and assisting with distribution to winners.
Qualifications:
• Prior experience in event coordination, marketing support, project administration, or a closely related function.• Proficiency with Microsoft Excel, Microsoft Word, and Canva for tracking information and creating event materials.
• Strong attention to detail with the ability to manage large volumes of information accurately.
• Clear written and verbal communication skills, including strong proofreading and editing ability.
• Ability to balance multiple deadlines while following established procedures and priorities.
• Confidence interacting with donors, guests, clients, or other stakeholders in a thoughtful and respectful manner.
• Comfortable conducting follow-up communication and helping move approvals or next steps forward.
• Reliable judgment, strong workplace conduct, and a consistent focus on high-quality execution.
