Surgery Scheduling Associate
We are looking for a Surgery Scheduling Associate to support surgical scheduling operations for a contract position based in Portland, Oregon. In this role, you will coordinate procedure calendars, communicate with physician offices and internal teams, and help ensure patients are prepared for upcoming surgical services. This opportunity is ideal for someone who can manage administrative details accurately while maintaining clear communication in a healthcare setting.
Responsibilities:
• Coordinate surgical procedure appointments and maintain accurate scheduling records to support efficient use of operating room resources.
• Serve as a central point of communication between physicians, clinic staff, hospital departments, and patients regarding procedure timing and related updates.
• Verify referrals, insurance details, and prior authorization information before scheduled services to help avoid delays or coverage issues.
• Prepare, organize, and distribute scheduling documents, notices, faxes, and other administrative materials needed for upcoming procedures.
• Answer and route calls appropriately, respond to routine scheduling questions, and provide timely follow-up to physician offices and patients.
• Update spreadsheets, logs, and reports to track scheduling activity, case volume, and other departmental information.
• Assist with patient appointment coordination across clinics and related care settings when procedural scheduling requires cross-department support.
• Maintain complete and accurate paperwork while supporting smooth communication around billing, coverage, and procedural documentation.
Qualifications:
• High school diploma or equivalent preferred.• Associate degree, technical training, or a comparable combination of education and related experience preferred.
• Experience with scheduling, medical office coordination, or healthcare administrative support is helpful.
• Familiarity with referrals, insurance verification, and authorization processes in a clinical setting is preferred.
• Ability to manage paperwork, spreadsheets, phone communication, and document distribution with strong attention to detail.
• Strong interpersonal skills with the ability to work effectively with physicians, office staff, patients, and multiple departments.
• Must meet applicable employment requirements, including vaccination policies where required; approved medical or religious exemptions may apply.
• Eligibility to work in the United States must be verified in accordance with E-Verify requirements.
Compensation
