AP Assistant – Distribution Company

Want to build real Accounts Payable experience without needing years of experience?

A busy distribution company in Oceanside is hiring an AP Assistant to join its accounting department. This position is a great fit for someone coming from an administrative, data entry, bookkeeping, or customer service background who wants to transition into accounting.

You'll be responsible for keeping invoices organized, assisting with vendor communication, and supporting the AP team with accurate and timely processing.

Responsibilities

• Enter invoices into the accounting system
• Review invoices for appropriate documentation and approvals
• Match invoices against purchase orders and receiving records
• Organize and maintain vendor files
• Assist with vendor statement reconciliations
• Respond to basic vendor questions regarding invoices and payments
• Help prepare payment batches for approval
• Research duplicate invoices and discrepancies
• Maintain accurate AP spreadsheets
• Assist with month-end AP reporting
• Provide administrative support to the Accounting team

Qualifications:

• 1+ year of administrative, data entry, bookkeeping, or accounting experience
• AP experience is preferred but not required
• Strong typing and data entry accuracy
• Basic Excel skills
• Excellent organizational abilities
• Comfortable working with repetitive financial transactions
• Professional communication skills
• Positive attitude and willingness to learn
