AP Specialist

We are seeking a detail-oriented Accounts Payable Specialist to join our growing accounting team in Dallas, TX. The ideal candidate will be responsible for managing the full-cycle accounts payable process, ensuring accurate and timely payment of vendor invoices, maintaining vendor relationships, and supporting month-end close activities. This position requires strong organizational skills, attention to detail, and the ability to thrive in a fast-paced environment.

Qualifications:

Key Responsibilities

• Process high-volume vendor invoices accurately and efficiently.
• Perform three-way matching of invoices, purchase orders, and receiving documents.
• Review invoices for proper coding, approvals, and supporting documentation.
• Prepare and process weekly check runs, ACH payments, and wire transfers.
• Reconcile vendor statements and resolve invoice discrepancies.
• Maintain vendor records, including W-9 documentation and payment information.
• Respond to vendor inquiries regarding payment status and account discrepancies.
• Assist with month-end close by preparing AP accruals and account reconciliations.
• Monitor aging reports and ensure timely payment of obligations.
• Support annual audits by providing requested documentation and schedules.
• Ensure compliance with company policies and internal controls.
• Collaborate with purchasing, operations, and accounting teams to resolve issues.

Qualifications

• Associate's degree in Accounting, Finance, or related field preferred.
• 2+ years of accounts payable experience.
• Experience processing high-volume invoices.
• Strong understanding of accounts payable procedures and accounting principles.
• Proficiency with Microsoft Excel, including VLOOKUPs and Pivot Tables.
• Experience with ERP systems such as NetSuite, Oracle, SAP, Microsoft Dynamics, Great Plains, or similar platforms.
• Excellent attention to detail and organizational skills.
• Strong communication and problem-solving abilities.
• Ability to manage multiple priorities and meet deadlines.
