Operations Coordinator
We are looking for a highly organized Operations Coordinator to support a fast-paced installation workflow in Blaine, Minnesota. This Contract to hire position is ideal for someone who can work independently, manage a high volume of customer interactions, and keep scheduling and order details accurate in a busy operational environment. The person in this role will help keep installation activity moving forward by coordinating appointments, maintaining records, and providing timely updates to customers and internal teams.
Responsibilities:
• Coordinate installation appointments to maximize scheduling efficiency and maintain timely service delivery.
• Monitor open installation orders, confirm product readiness, and verify supporting labor documentation before scheduled work begins.
• Maintain daily oversight of the installation pipeline by updating job statuses and closing completed items accurately.
• Prepare and organize installation documents so assigned crews have the information needed for each project.
• Match new projects with the appropriate installation teams based on crew capabilities and job requirements.
• Track incoming orders and inventory details while communicating estimated timelines to customers and internal stakeholders.
• Respond to customer questions and resolve service-related issues with a strong focus on satisfaction and follow-through.
• Process payments and submit funding information for completed work in accordance with company guidelines.
• Enter and maintain accurate operational data in business systems, including CRM and ERP platforms such as Microsoft Dynamics.
• Provide additional administrative and operational support as needed in a high-volume environment.
Qualifications:
• Experience working with installation coordination, service scheduling, or a similar operations-focused support function.
• Prior use of Microsoft Dynamics, CRM platforms, or ERP systems for order tracking, customer records, and workflow management.
• Ability to handle a large volume of incoming calls, inquiries, and administrative tasks with minimal supervision.
• Strong customer service and communication skills across phone, email, and internal coordination.
• At least 3 years of administrative experience; additional experience in a related industry is strongly preferred.
• High attention to detail for data entry, documentation review, billing support, and compliance with established processes.
• Proven ability to stay organized, prioritize urgent issues, and work effectively in an independent role.
• Operations experience is a plus
• Manufacturing/Construction experience is a plus
Compensation
