Reception & Administrative Assistant
Responsibilities:
• Welcome visitors, manage front-desk activity, and ensure each guest and caller receives prompt, courteous assistance.
• Coordinate calendars, schedule meetings, and organize vendor visits, team gatherings, and other office events.
• Oversee day-to-day office needs by handling supplies, incoming deliveries, parking arrangements, maintenance requests, and communication with building management.
• Prepare, track, and organize client-facing and internal documents such as proposals, agreements, retainers, change orders, and electronic signature packages.
• Maintain accurate digital records and filing systems so project and administrative documentation remains accessible and up to date.
• Provide administrative support for accounting-related tasks, team scheduling, and workflow coordination across the office.
• Assist with operational improvement initiatives by helping streamline administrative processes and support evolving office needs.
Qualifications:
• At least 3 years of experience in office administration, reception, executive support, customer service, or showroom coordination.• Strong ability to manage multiple priorities while staying organized in a fast-paced environment.
• Excellent attention to detail with a high standard for accuracy and follow-through.
• Clear and effective written and verbal communication skills.
• Proficiency with Microsoft Word, Microsoft Excel, and electronic signature tools.
• Experience using Microsoft Teams, internal business systems, or project management software is preferred.
• Background in luxury retail, interior design, architecture, construction, or real estate is highly valued.
Compensation
