Front Desk Coordinator
Responsibilities:
• Manage the reception area and lobby to maintain an organized, orderly, and inviting atmosphere for employees and guests.
• Welcome visitors, vendors, and contractors, guide them appropriately, and ensure sign-in and access procedures are followed in line with site security expectations.
• Answer and route incoming phone calls efficiently using a multi-line system, providing courteous and accurate assistance.
• Prepare, organize, scan, and maintain physical and electronic records to support office documentation needs.
• Assist with daily administrative activities such as drafting correspondence, scheduling appointments, coordinating calendars, and arranging meetings.
• Support onsite gatherings by coordinating meeting spaces, lunches, and other event-related details as needed.
• Process incoming and outgoing mail, handle courier coordination, and help ensure timely delivery of packages and documents.
• Monitor office supply levels, replenish common materials, and keep printer and copier supplies stocked for uninterrupted operations.
• Partner with the Marketing Manager to coordinate conference and event logistics, including materials preparation, shipment tracking, vendor communication, presentation support, and storage of returned items.
• Provide cross-functional administrative assistance and contribute to Environmental, Health, Safety, and Security practices while taking on additional tasks assigned by management.
Qualifications:
• High school diploma or equivalent is required.• At least three years of experience in administrative support, front desk coordination, or a similar office-based role.
• Strong verbal and written communication skills with a detail-oriented and service-oriented approach.
• Demonstrated ability to stay organized, manage multiple priorities, and maintain attention to detail.
• Proficiency in Microsoft Word is required, and experience with Excel and PowerPoint is preferred.
• Experience handling multi-line phone systems, greeting visitors, and coordinating meetings in a detail-oriented setting.
• Positive attitude with a customer-focused mindset and the ability to work effectively with internal teams and external guests.
Compensation
