Executive Assistant
We are looking for an Executive Assistant to provide high-level support to leadership within a mission-driven non-profit organization. This Long-term Contract opportunity is ideal for an organized individual who can manage executive priorities, coordinate complex activities, and help keep team operations running smoothly. The role combines executive support, project coordination, meeting management, and administrative oversight while working across internal teams and external partners. This role is 100% onsite, M-F, 8am-5pm.
Responsibilities:
• Build productive working relationships with leaders, colleagues, partners, and stakeholders to support collaboration across team initiatives.
• Manage executive calendars, coordinate meetings, prepare agendas and materials, and handle incoming communications with professionalism and discretion.
• Arrange travel plans, process related logistics, and support special assignments and administrative requests for leadership.
• Assist with budget-related activities by reviewing data, processing invoices, supporting purchasing tasks, reconciling records, and preparing reports.
• Lead assigned projects by organizing timelines, monitoring progress, and helping ensure deadlines and budget expectations are met.
• Support team and project meetings by capturing follow-up items, maintaining tracking tools, and encouraging timely completion of next steps.
• Coordinate planning efforts with internal teams for meetings, convenings, and workspace or operational needs.
• Partner with leadership and people-focused teams to support hiring coordination, onboarding activities, and other employee experience initiatives.
• Contribute to cross-functional working groups and represent the team in internal or external presentations, panels, or similar engagements.
• Help organize leadership council meetings, steering committee sessions, and other executive cohort activities as needed.
Qualifications:
• Associate degree in a related field or an equivalent combination of education and relevant experience.• At least 2 years of experience in executive support, administrative coordination, or a similar role; 3–5 years is preferred.
• Strong ability to manage calendars, correspondence, meeting logistics, agendas, and notes in a fast-paced environment.
• Experience handling confidential information with sound judgment, integrity, and discretion.
• Effective communication skills and the ability to work successfully with people from diverse cultural, social, and ethnic backgrounds.
• Proficiency with administrative and collaboration tools such as Cisco Webex Meetings, Concur, and common office software.
• Strong organizational and analytical skills with the ability to prioritize multiple tasks and follow projects through to completion.
• Fluency in English is required; additional language skills such as Spanish, French, Haitian Creole, Indigenous languages, or Native American languages are strongly preferred.
Compensation
