Administrative Assistant
Responsibilities:
• Manage purchase orders from initial entry through final receipt, ensuring each step is documented and completed on schedule.
• Maintain inventory and purchasing records by updating spreadsheets, tracking data, and resolving inconsistencies in item information.
• Assist with production and replenishment planning by adjusting timelines and helping teams stay informed on product availability.
• Work closely with vendors, suppliers, and retail contacts to confirm order details, delivery expectations, and changing product needs.
• Support sourcing efforts by helping identify items for restocking and coordinating follow-up actions to meet inventory demand.
• Organize product samples for internal review and customer use, including tracking distribution and maintaining clear sample records.
• Coordinate inbound and outbound shipping activity by arranging freight details and monitoring logistics progress.
• Prepare and maintain purchasing reports and related administrative documentation to support accurate operational decision-making.
Qualifications:
• At least 1 year of experience in purchasing, merchandising, inventory support, supply chain coordination, or a related administrative function.
• Must be able to speak Spanish
• Familiarity with purchase order workflows; experience using EDI platforms is preferred.
• Strong working knowledge of Microsoft Excel and comfort using business software for data entry and reporting.
• Excellent organization, written communication, and multitasking abilities in a deadline-driven setting.
• High attention to detail with the ability to identify discrepancies and follow through on corrections.
• A proactive, collaborative approach and willingness to take ownership of assigned tasks.
• Experience with ERP or accounting systems is a plus.
• Ability to perform effectively in a fast-paced retail, wholesale, or manufacturing environment.
Compensation
