Front Desk Coordinator
Responsibilities:
• Welcome employees, visitors, and vendors with a courteous and detail-oriented approach while monitoring entry to help maintain a secure office environment.
• Manage front desk coverage independently for extended periods, remaining attentive to lobby activity and coordinating with off-site team members through Teams as needed.
• Answer and direct incoming calls using a multi-line phone system, ensuring inquiries are handled promptly and accurately.
• Support guest arrivals by using digital check-in tools, including the iPad kiosk application, and assist with the visitor registration process.
• Track office and kitchen supply levels, communicate replenishment needs, and help maintain organized common-use inventory.
• Notify staff when food vendors arrive, assist with lunch-related coordination, and deliver meals to conference rooms or team members when requested.
• Complete opening and closing routines consistently, following daily checklists with strong attention to detail and dependable follow-through.
• Help maintain a clean and presentable workplace by tidying the lobby, conference rooms, and break room, including wiping surfaces and removing trash.
• Contribute to additional administrative or office support projects during slower periods at the reception desk.
Qualifications:
• Previous experience in a front desk, receptionist, concierge, or customer-facing office support role.• Ability to work independently in a lobby setting while maintaining professionalism, focus, and a service-oriented attitude.
• Proficiency with Microsoft Outlook calendars, Microsoft Teams, and basic Excel functions.
• Comfortable handling inbound calls and operating a multi-line phone or switchboard system.
• Strong interpersonal communication skills with the ability to interact effectively with guests, employees, and leadership.
• High level of accuracy, reliability, and follow-through when managing recurring tasks and daily procedures.
• Willingness to support light housekeeping tasks in shared office areas as part of overall front desk responsibilities.
Compensation
