Office Services Associate
Responsibilities:
• Manage incoming office service requests by reviewing job details, confirming instructions, and recording work through established tracking methods.
• Produce, scan, copy, and distribute documents while following defined procedures for reprographics, mail handling, and intake support.
• Organize assignments based on urgency and service commitments to ensure completed work is delivered within agreed timeframes.
• Communicate proactively with clients and leadership regarding priorities, completion timelines, and any issues affecting service delivery.
• Perform routine quality checks on completed materials to maintain accuracy and consistency before distribution.
• Resolve minor equipment issues and replenish paper, toner, and other supplies to keep machines ready for daily use.
• Handle confidential files and sensitive information with discretion while following company and client policies.
• Assist with additional front-of-house or workplace support needs, including reception, hospitality, and basic audio/visual coordination as required.
• Move boxes, paper, and completed materials as needed, including regularly lifting items weighing up to 50 pounds.
• Work collaboratively with the office services team and escalate more complex operational problems when appropriate.
Qualifications:
• High school diploma or equivalent required.• At least 1 year of experience in office services, copy center support, mailroom operations, or a similar administrative environment.
• Background in a legal, banking, or large corporate setting is preferred.
• Demonstrated customer service skills with the ability to build positive working relationships.
• Strong attention to detail, time management, and organizational ability.
• Comfortable handling confidential documents and making sound decisions within established policies.
• Ability to troubleshoot basic office equipment issues and recognize when escalation is needed.
• Capable of working effectively with diverse teams in a high-volume, fast-paced setting.
