Office Manager
We are looking for a Contract Office Manager to oversee daily workplace operations in San Francisco, California. This role is responsible for creating an organized, welcoming, and efficient office environment while coordinating services, supporting employees and visitors, and helping maintain a positive on-site experience. The ideal candidate brings strong organizational skills, sound judgment, and the ability to adapt quickly in a fast-moving setting.
Responsibilities:
• Oversee the day-to-day appearance, organization, and functionality of the office to ensure a clean, well-supplied, and productive workplace.
• Coordinate external service providers, including facilities, cleaning, food service, and security partners, and monitor service quality to maintain high standards.
• Organize on-site gatherings such as team meals, office celebrations, and internal events, including preparation, vendor coordination, and post-event wrap-up.
• Administer workplace entry processes by managing badge access and supporting secure office operations.
• Welcome employees, candidates, clients, and other visitors with a thoughtful and hospitable approach that reflects the company positively.
• Assist with workspace planning, office reconfigurations, furniture adjustments, and other improvements to support evolving team needs.
• Manage incoming mail and package distribution, ensuring items are routed accurately and efficiently to the appropriate recipients or departments.
• Support office health, safety, and emergency readiness efforts by helping maintain procedures, supplies, and workplace compliance standards
Qualifications:
• At least 1 year of experience in office coordination, administrative support, hospitality, or a recruiting or human resources environment.
• Proficiency with Google Workspace and Microsoft Office for scheduling, communication, documentation, and reporting tasks.
• Demonstrated ability to handle confidential information with discretion, professionalism, and strong judgment.
• Strong communication skills, with the ability to interact clearly and effectively in both written and verbal settings.
• Excellent attention to detail, strong multitasking ability, and comfort shifting priorities in a fast-paced workplace.
• A steady, positive, and solution-oriented approach, along with a willingness to learn new processes and tools.
• experience using AI tools is a plus.
Compensation
