Administrative Assistant II

Compensation: $21 to $23 Hourly

We are looking for an organized BILINGUAL SPANISH SPEAKING Administrative Assistant II to provide day-to-day support for the Health Department in Connecticut. This long-term contract position is ideal for someone who communicates clearly, manages details accurately, and enjoys assisting both internal teams and the public in a fast-paced government environment. The role includes administrative coordination, records management, payment tracking, and front-office support while working closely with inspectors, department staff, and other administrative team members.


Responsibilities:

• Provide administrative support to the Health Department by handling correspondence, preparing mailings, and maintaining organized office records.

• Process housing registration documents, manage renewal-related paperwork, and distribute licenses and official notices in a timely manner.

• Receive, record, and track fees, payments, and tax-related information while ensuring documentation is accurate and complete.

• Prepare certified mailings, create copies of violation notices, and coordinate the delivery of information to other city departments as needed.

• Enter and update data in department systems with a high level of accuracy to support compliance and operational reporting.

• Assist residents, visitors, and internal staff by answering questions, responding to inbound calls, and delivering attentive customer service at the front desk.

• Work collaboratively with other administrative personnel and health inspectors to support daily department operations and ongoing training activities.

• Anticipate administrative needs, follow up on outstanding items, and help resolve routine office challenges in a proactive manner.


Qualifications:

• Prior experience in administrative support, office coordination, or receptionist-related work.
• Strong data entry skills with close attention to accuracy, organization, and recordkeeping.
• Ability to manage inbound calls, written correspondence, and in-person inquiries in a detail-oriented manner.
• Experience handling payments, fees, or other transactional documentation within an office setting.
• Comfortable working as part of a team while also managing assigned tasks independently.
• Spanish-speaking ability is required to effectively assist a diverse community.
• Proficiency with general administrative office tasks, including filing, copying, mailing, and document preparation.

Compensation

$21.00-$23.00 Hourly
