Receptionist, Office Assistant
We are looking for an experienced and dependable Receptionist, Office Assistant to support daily operations in our legal office. This position serves as a key point of contact for clients, visitors, and staff while helping keep administrative workflows organized and efficient. The ideal candidate brings strong communication skills, sound judgment, and a detail-oriented approach to handling confidential information in a fast-paced office environment. Responsibilities:
• Welcome clients, guests, and team members with courtesy, creating a positive first impression for the office.
• Manage a busy appointment calendar, coordinate scheduling needs, and share clear information with prospective and current clients.
• Answer incoming calls promptly, direct inquiries appropriately, and help reduce wait times by handling routine questions efficiently.
• Prepare meeting and appointment areas in advance to support smooth client visits and internal office activities.
• Provide administrative assistance across departments by completing clerical assignments accurately and on schedule.
• Organize, copy, assemble, and label documents and materials needed for legal and office operations.
• Maintain filing systems, update records, and perform data entry and other general office support tasks as needed.
• Sort, distribute, and process incoming and outgoing mail in a timely and orderly manner.
• Protect sensitive client and business information by following confidentiality standards at all times.
• Keep the reception and work areas clean, safe, and well organized, and document client interactions accurately when required.
Qualifications:
• Strong verbal and written communication skills with the ability to interact effectively with clients, staff, and the public.• Experience with administrative support, front desk operations, and handling high-volume inbound calls.
• Proficiency with office software, data entry, and calendar scheduling tools.
• Ability to manage multiple priorities with attention to detail and strong organizational skills.
• Detail-focused demeanor, dependable work ethic, and a positive customer-service mindset.
• Ability to maintain discretion and handle confidential information responsibly.
• Prior experience in a legal or office environment is preferred.
• Comfort supporting general clerical tasks such as filing, mail handling, document preparation, and records maintenance.
Compensation
