Legal Secretary
We are looking for a Legal Secretary to join a law firm based in Redwood City. In this role, you will provide dedicated support to a group of attorneys handling litigation matters, helping keep cases organized, filings timely, and legal documents accurate and well prepared. This opportunity is well suited for a legal support specialist who enjoys working in a fast-paced practice and wants to build a long-term career with an established firm. The position requires on-site work during training, with the possibility of a hybrid schedule afterward.
Responsibilities:
• Support attorneys through multiple stages of litigation by coordinating documents, deadlines, and daily case activity.
• Prepare, revise, and proofread pleadings, motions, correspondence, and other legal materials to ensure accuracy and proper formatting.
• Submit court documents through state and federal electronic filing systems while monitoring for compliance with filing rules and deadlines.
• Maintain attorney calendars by scheduling hearings, court appearances, meetings, and other case-related commitments.
• Track critical dates and follow up on upcoming deadlines to help matters progress efficiently and without delay.
• Organize and update electronic and paper case files, including indexes and supporting documentation for active matters.
• Produce tables of authorities and tables of contents for legal filings and assist with finalizing documents for submission.
• Communicate effectively with clients, opposing counsel, court staff, and internal team members regarding scheduling, filings, and case-related correspondence.
Qualifications:
• At least 3 years of experience in a legal secretary role supporting civil litigation or insurance defense matters.• Demonstrated ability to complete electronic filings in both state and federal courts.
• Strong working knowledge of court procedures, litigation documents, and deadline management.
• Experience managing busy attorney calendars and coordinating hearings, meetings, and court dates.
• Excellent written communication skills with the ability to draft, edit, and proofread legal documents carefully.
• Proficiency in preparing high-quality filings, including document formatting and creation of tables of authorities and tables of contents.
• Ability to work on-site during training and adapt to a hybrid schedule based on business needs.
• Strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced legal environment.
Compensation
