The Collections Specialist is responsible for managing customer accounts receivable by contacting customers regarding past-due balances, resolving invoice issues, and partnering with Sales, Customer Service, and Credit to support timely payment. This role helps maintain strong aging and DSO performance while providing professional, customer-focused service.
Essential Functions
- Manage an assigned portfolio of customer accounts and follow up on past-due balances through phone, email, and other communication methods.
- Research and resolve invoice discrepancies, payment issues, and customer disputes in partnership with Sales and Customer Service.
- Maintain accurate account records and document collection activity, customer commitments, and account status.
- Partner with the Credit Analyst and Sales team to resolve issues and support timely collections.
- Monitor customer accounts to identify potential payment issues and take appropriate follow-up action.
- Assist with month-end reporting and provide data related to collections and accounts receivable.
- Support company goals for accounts receivable aging and DSO.
- Perform other related responsibilities as assigned.
Experience, Education and Skills
- High school diploma or GED required; Associate’s degree in Accounting or related field preferred, or equivalent combination of education and experience.
- 2+ years of collections, accounts receivable, or related experience.
- Strong verbal and written communication skills with the ability to professionally handle customer payment discussions.
- Excellent problem-solving and organizational skills with strong attention to detail.
- Ability to manage multiple accounts, priorities, and deadlines in a fast-paced environment.
- Proficiency with Microsoft Office, including Excel, Word, and Outlook.
- Strong customer service skills and the ability to build positive relationships while effectively pursuing payment.
