Executive Assistant
Responsibilities:
• Manage complex executive calendars, align schedules with shifting priorities, and ensure leaders are prepared for meetings and commitments.
• Arrange domestic and international travel, develop detailed itineraries, and handle related logistics to support seamless executive movement.
• Prepare presentation materials, briefing documents, and meeting summaries for leadership, board discussions, and external engagements.
• Coordinate executive meetings by organizing agendas, gathering background information, and tracking action items through completion.
• Support day-to-day business operations within the executive office by monitoring deadlines, handling sensitive communications, and maintaining organized records.
• Assist with project coordination for strategic initiatives, ensuring timelines, stakeholders, and deliverables remain on track.
• Facilitate communication with donors, board members, and other key partners in an effective and attentive manner.
• Use Microsoft Excel, PowerPoint, and Outlook along with CRM and Salesforce tools to manage information, reporting, and executive support activities.
Qualifications:
• 7+ years of experience providing executive-level administrative support in a fast-paced, detail-focused environment.• Demonstrated expertise in calendar oversight, travel planning, and coordinating high-priority meetings for senior leaders.
• Strong background in executive office operations, project support, and managing confidential information with discretion.
• Experience preparing board-facing materials, presentations, and briefing documents for leadership review.
• Proficiency with Microsoft Excel, Microsoft PowerPoint, and Microsoft Outlook.
• Working knowledge of CRM systems, including experience using the Salesforce platform.
• Excellent written and verbal communication skills with the ability to interact effectively with executives, donors, and external stakeholders.
Compensation
