Compliance Specialist
Responsibilities:
• Oversee state entity registrations, annual reports, and related compliance submissions for business operations across multiple jurisdictions.
• Coordinate required filings with external corporate service providers and state agencies to keep records accurate and current.
• Maintain organized corporate documentation, including entity details, officer information, and supporting compliance records.
• Administer contractor license applications, renewals, and status tracking to support ongoing regulatory obligations.
• Monitor submission calendars and renewal deadlines to help ensure entities and licenses remain active and in good standing.
• Develop and update standard operating procedures and written workflows to create a more consistent compliance program.
• Investigate outstanding filing issues and assist with resolving gaps identified through external compliance reviews or audits.
• Collaborate with HR and company leadership on compliance-related requests, documentation, and administrative follow-up.
• Manage day-to-day compliance tasks independently while prioritizing deadlines and escalating risks when needed.
Qualifications:
• Prior experience handling corporate compliance filings, state registrations, and entity record administration.• Hands-on knowledge of Secretary of State filing processes and working with corporate service companies.
• Experience managing contractor licensing activities, including applications, renewals, and related documentation.
• Strong organizational skills with the ability to maintain accurate records and track multiple deadlines effectively.
• Ability to create clear process documentation, SOPs, and written compliance procedures.
• Comfortable working independently with limited supervision while managing competing priorities.
• Detail-oriented communication skills and the ability to partner effectively with internal teams and external contacts.
