Workplace Coordinator
Responsibilities:
• Manage front-office activities by greeting visitors, handling inbound calls, sorting incoming mail, and keeping daily workplace operations on track.
• Coordinate building-related services, including maintenance requests, repairs, and external vendor scheduling, to maintain a safe and functional office.
• Organize workspace usage by supporting seating arrangements, desk assignments, and office move activities as business needs change.
• Prepare work areas for new team members by arranging desks, equipment, and access needs to support a smooth onboarding experience.
• Track and replenish office inventory, including supplies, shared equipment, and kitchen stock, to ensure teams have the resources they need.
• Apply workplace guidelines and operational procedures to promote compliance, safety, and consistency across the office.
• Provide logistical support for meetings, events, and employee engagement activities by coordinating room setup, materials, and scheduling details.
• Assist with schedule coordination and dispatch-style follow-up to ensure service requests and workplace issues are addressed in a timely manner.
Qualifications:
• Experience supporting office, workplace, facilities, or administrative operations in a detail-oriented environment.• Strong ability to coordinate schedules, prioritize tasks, and manage multiple service needs at the same time.
• Comfortable answering inbound calls and serving as a detail-oriented first point of contact for employees, guests, and vendors.
• Demonstrated organizational skills with the ability to track inventory, manage details, and follow through on assignments.
• Ability to work independently while also taking ownership of workplace needs and day-to-day coordination tasks.
• Clear communication skills and a customer-focused approach when supporting employees and external partners.
• Familiarity with basic administrative processes, vendor coordination, and office support responsibilities.
• Payroll experience may be helpful, but the primary focus of this role is workplace coordination and office operations.
Compensation
