Weekend Receptionist
We are looking for a dependable evening and weekend Receptionist to support daily front-desk operations at a senior living community in Walnut Creek, California. This is a contract position suited for someone who enjoys creating a welcoming experience for residents, visitors, and staff while keeping administrative tasks organized. The ideal candidate brings strong customer service skills, comfort handling multi-line phones, and the ability to respond calmly and professionally in a fast-paced environment.
Receptionist Responsibilities:
• Welcome guests, residents, and vendors at the front desk, assess their needs, and connect them with the appropriate person or department.
• Manage incoming phone traffic on a multi-line switchboard, relay accurate messages, and route calls efficiently.
• Provide courteous assistance to residents and visitors by answering general questions and offering clear directions or referrals.
• Complete administrative support tasks such as data entry, document preparation, filing, mail sorting, and distribution for the office.
• Receive and process deliveries, including packages, flowers, and correspondence, and ensure items reach the correct recipient.
• Maintain up-to-date front office records such as resident directories, daily census information, and other routine tracking documents.
• Coordinate transportation requests by scheduling van service, taxi pickups, or other travel arrangements for residents.
• Record and monitor key operational logs, including incident documentation and resident wake-up call tracking.
• Respond to urgent calls from residents or care staff and help direct emergency responders to the correct on-site location when needed.

Qualifications:
• At least 1 year of experience in a receptionist, front desk, or customer-facing administrative role.• Ability to operate a multi-line phone system and handle call transfers with accuracy and professionalism.
• Strong customer service and communication skills, with the ability to interact effectively with seniors, families, and staff.
• Proficiency with basic office tasks such as email correspondence, computer data entry, filing, and record maintenance.
• Comfortable working in a senior housing, assisted living, or similar community-based environment.
• Strong attention to detail and the ability to manage multiple responsibilities during busy periods.
• Ability to remain calm, organized, and responsive when handling urgent or emergency-related communications.
