Project Coordinator
We are looking for a detail-oriented Project Coordinator to join a wholesale distribution team in Colorado. This contract opportunity with permanent potential is ideal for someone who enjoys balancing administrative support, project follow-through, and cross-functional communication in a fast-moving environment. The role works closely with sales representatives, vendors, clients, and warehouse teams to keep orders organized, deliveries on schedule, and project information accurate from start to finish.
Responsibilities:
• Coordinate incoming sales orders by organizing project documentation and managing the next steps needed to move each order through the process.
• Partner with sales representatives, vendors, and internal teams to support order execution and maintain clear communication throughout each project.
• Oversee purchasing activities, delivery timelines, and shipment scheduling to help ensure products arrive when and where they are needed.
• Communicate with warehouse partners regarding incoming inventory, outbound shipments, and storage needs tied to project delays or changing construction schedules.
• Provide timely updates to clients and stakeholders regarding order status, scheduling changes, and project-related logistics.
• Maintain tracking spreadsheets and administrative records, using Excel to monitor details, timelines, and progress across multiple active projects.
• Prepare invoices and assist with related administrative or accounting support as needed within the project lifecycle.
• Manage a variety of coordination tasks in a manual process environment while keeping priorities organized and deadlines on track.
Qualifications:
• 3+ years of experience in administrative coordination, project support, order management, or a similar operational role.
• Strong ability to work independently after training and confidently manage daily responsibilities with limited supervision.
• Proficiency in Excel, including updating records, maintaining trackers, and using basic formulas.
• Experience supporting scheduling, sales coordination, administrative assistance, or related workflow-driven responsibilities.
• Ability to manage multiple priorities at once while staying highly organized and detail focused.
• Strong communication skills for working with sales teams, vendors, warehouse contacts, and customers.
• QuickBooks experience is preferred, and exposure to invoicing or basic accounting support is a plus.
