Legal Secretary
Responsibilities:
• Draft, revise, and finalize legal correspondence, pleadings, briefs, and other case-related documents with a high level of accuracy.
• Coordinate attorney calendars by tracking hearings, filing dates, meetings, and other critical litigation deadlines through Outlook.
• Submit and manage electronic filings and service for matters in both state and federal courts, ensuring compliance with procedural requirements.
• Arrange depositions, conferences, and internal or external meetings while confirming logistics with all participants.
• Organize and prepare case materials using Adobe Acrobat Pro, including tasks such as bookmarking, assembling files, and applying Bates numbering.
• Serve as a point of contact for clients, opposing counsel, and court personnel, providing timely and clear communication.
• Maintain orderly document and case files so legal materials are easy to access and ready for upcoming deadlines or proceedings.
Qualifications:
• At least 3 years of experience in a Legal Secretary role supporting litigation or legal administrative work.• Advanced proficiency in Microsoft Word, including complex legal formatting and document cleanup.
• Demonstrated ability to create and format legal documents with tables of contents and tables of authorities.
• Working knowledge of electronic filing procedures for both state and federal courts.
• Hands-on experience with Adobe Acrobat Pro for managing and preparing legal documents.
• Familiarity with California civil procedure and Santa Clara County local court rules.
• Strong organizational, calendar management, and written and verbal communication skills.
