Administrative Assistant
Responsibilities:
• Support assigned field representatives with day-to-day administrative and clerical tasks, ensuring schedules, correspondence, and materials are well organized.
• Serve as the first point of contact for the office by welcoming visitors, answering incoming calls, and directing inquiries to the appropriate teams.
• Prepare, edit, and proofread letters, reports, newsletters, and other written materials with a high level of accuracy and professionalism.
• Coordinate meetings, trainings, and events by arranging locations, managing invitations and responses, sending reminders, and assembling required documents.
• Maintain contact records, distribution lists, and office data using Microsoft Office and other internal technology platforms.
• Compile information and assist with data tracking, reporting, and document preparation for compensation-related records, bargaining unit requests, and other staff needs.
• Organize office files by scanning, filing, updating, and retrieving documents, including agreements and other operational records.
• Monitor office supply levels, support general office organization, and assist with routine research through online and social media sources as needed.
Qualifications:
• High school diploma or vocational school completion required.• Prior experience in administrative support, receptionist duties, data entry, or general office operations.
• Strong working knowledge of Microsoft Office applications, internet research, communication tools, and standard office equipment.
• Excellent command of grammar, spelling, punctuation, proofreading, and accurate document formatting.
• Ability to handle confidential assignments with sound judgment and work independently with minimal supervision.
• Effective verbal and written communication skills, with a courteous and attentive approach when assisting others.
• Strong organizational skills with the ability to manage multiple deadlines, solve problems, and maintain accuracy under pressure.
