Office Assistant
We are looking for a detail-oriented Office Assistant to support daily administrative operations for a contract position based in Austin, Texas. This role will help keep office activities organized by managing communications, coordinating meetings and events, maintaining records, and preparing business documents. The ideal candidate is comfortable handling multiple priorities, works well with leadership and staff, and uses sound judgment when working with sensitive information.
Responsibilities:
• Manage the flow of incoming and outgoing mail and ensure materials are routed to the appropriate recipients in a timely manner.
• Support office leadership by sharing important updates and assisting with day-to-day administrative coordination across departments.
• Schedule meeting rooms, arrange refreshments when needed, and organize calendars for meetings, conferences, and video calls.
• Prepare, edit, and format correspondence, reports, presentations, and other documents to support internal operations.
• Maintain organized files, records, spreadsheets, and database entries with a high level of accuracy and attention to detail.
• Provide administrative support for educational initiatives, including accreditation activities, workshops, conferences, and related meetings.
• Assist office management with event planning, special projects, and other operational tasks as priorities arise.
• Handle confidential documents and sensitive information with professionalism and discretion at all times.
Qualifications:
• At least four years of administrative or office support experience.
• Proficiency with Microsoft Word, Excel, and Adobe Acrobat Pro.
• Ability to manage competing priorities in a fast-paced environment with limited supervision.
• Strong written and verbal communication skills and the ability to collaborate effectively with staff and leadership.
• Experience maintaining accurate records, files, reports, and data entries using computer-based systems.
• Working knowledge of standard office equipment and general clerical procedures.
• Strong attention to detail, proofreading ability, and commitment to meeting deadlines under pressure.
Compensation
