Administrative Assistant
Responsibilities:
• Provide day-to-day administrative support to the Foundation & Alumni Relations department, ensuring office activities run smoothly and efficiently.
• Maintain and update donor, alumni, and departmental records with a strong focus on accuracy, completeness, and confidentiality.
• Draft and format letters, reports, and other business documents using Microsoft Office applications.
• Assist with large-scale communications by preparing mail merges, organizing materials, and supporting document distribution.
• Handle document management tasks such as filing, scanning, copying, and maintaining organized records.
• Use standard office equipment, including printers, copiers, and scanners, to support routine departmental needs.
• Coordinate calendars, scheduling, and general office logistics to help keep priorities on track.
• Contribute to special projects and additional administrative assignments as department needs evolve.
Qualifications:
• Prior experience in an administrative assistant, office support, or similar clerical role.• Strong data entry skills with a high level of accuracy and close attention to detail.
• Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
• Ability to prepare clear and effective correspondence and support mail merge activities.
• Effective written and verbal communication skills for interacting with internal and external contacts.
• Strong organizational skills with the ability to manage multiple tasks and deadlines.
• Experience with front desk, receptionist, or inbound call support is helpful.
• Exposure to bookkeeping, donor databases, higher education, nonprofit, or fundraising environments is preferred.
