Project Assistant
Responsibilities:
• Partner with company leadership to gather undocumented operational knowledge and turn it into clear written procedures and organized records.
• Create, update, and maintain binders, shared files, and reference documents so essential business processes are easy for the team to follow.
• Organize approximately 15 internal workflows, ensuring each process is documented accurately and stored in a consistent format.
• Consolidate quoting information and related documentation into a usable system that supports team access and continuity.
• Review project management materials, update records, and keep project folders structured and current.
• Document purchasing steps, compile vendor information, and clarify sourcing details for internal reference.
• Scan, sort, and file administrative materials to improve recordkeeping and reduce disorganization in the office.
• Assist with occasional brochure or basic marketing-related tasks when needed, including light document formatting or visual updates.
Qualifications:
• Strong organizational skills with the ability to create order in an environment with limited existing documentation.• Proven ability to work independently, take initiative, and solve problems without needing constant direction.
• Experience supporting administrative, coordination, or project-based work in an office setting.
• Comfort using Microsoft Office tools, including Excel for basic data entry and simple spreadsheet functions.
• Familiarity with scanning, digital file management, and maintaining accurate documentation.
• Basic Adobe Photoshop experience is helpful for occasional brochure or marketing support.
• Ability to manage timelines and handle multiple priorities within a short-term project assignment.
Compensation
