Contracts Assistant
Responsibilities:
• Review incoming customer order requests, confirm material details, and record accurate information in company systems and scheduling trackers.
• Provide timely updates to customers regarding order status, shipping activity, and expected delivery timing based on production and distribution schedules.
• Use multiple software platforms and Excel-based tools to maintain organized records and support daily contract and order administration.
• Prepare and distribute recurring operational reports related to sales order activity, purchase order follow-up, open orders, and delivery performance for customers and suppliers.
• Assist with logistics coordination by tracking shipments, responding to service inquiries, and helping ensure smooth communication between internal teams and external contacts.
• Maintain business transaction records and support documentation, including routine reporting and expense-related recordkeeping as needed.
• Follow company standards related to inventory practices, pricing controls, purchasing procedures, credit guidelines, quality expectations, and ethical business conduct.
• Participate in team meetings and quality-focused initiatives while supporting departmental communication and administrative consistency.
Qualifications:
• Previous experience in administrative support, order processing, contracts coordination, or a similar office-based role.• Strong customer service skills with the ability to communicate clearly and professionally in both written and verbal interactions.
• Experience handling inbound inquiries and providing accurate information in a responsive, service-oriented manner.
• Proficiency with Microsoft Excel, Word, and Windows-based computer applications.
• Ability to manage multiple tasks, navigate different systems, and maintain accuracy when entering and tracking data.
• Familiarity with purchase orders, scheduling activities, shipment coordination, or logistics support is preferred.
• Strong organizational skills, attention to detail, and the ability to work effectively in a fast-paced environment.
Compensation
