Office Manager
Responsibilities:
• Direct the day-to-day workflow of the office and guide administrative team members to ensure smooth, efficient operations.
• Partner with sales personnel to develop tailored client proposals, prepare supporting documents, and keep active opportunities organized.
• Monitor outstanding balances, support collection efforts, and lead recurring reviews of receivables to help maintain healthy account status.
• Manage calendars, coordinate appointments, issue work orders, and oversee daily follow-up activities to keep client service on track.
• Maintain accurate customer records, process payments, and ensure office files and databases remain current and well organized.
• Facilitate regular team meetings, evaluate workload distribution, and provide performance feedback to administrative staff.
• Compile payroll-related information for submission to accounting and assist with invoicing, billing summaries, and selected budget tracking activities.
• Support executive leadership with daily operational updates, customer issue escalation, proposal tracking, and end-of-day billing review.
• Oversee office supply inventory, handle purchasing needs, assist with license renewals, and provide broad administrative support across office functions.
• Serve as a backup resource for scheduling, reporting, contract processing, and other essential service department activities as needed.
Qualifications:
• At least 5 years of office management experience, including direct supervision of a team of 5 or more employees.• Demonstrated success supporting a high-volume client base while maintaining strong customer service standards.
• Experience preparing business proposals, reports, presentations, or similar client-facing documents is strongly preferred.
• Background in a service-oriented industry is preferred.
• Proficiency with Microsoft Office applications and confidence working across multiple administrative systems.
• Excellent written and verbal communication skills, with the ability to produce clear and effective business correspondence.
• Strong organizational, time management, and multitasking abilities with close attention to detail.
• A degree in Business, Management, English, Communications, Journalism, Literature, or a related field is preferred.
Compensation
