Administrative Coordinator
Responsibilities:
• Coordinate logistics for multiple events and conferences, ensuring schedules, materials, and support tasks are completed on time.
• Prepare attendee badges and assemble event packets, signage, and other meeting materials needed for successful program delivery.
• Pack, ship, and track event supplies to confirm materials arrive accurately and according to deadlines.
• Place orders for event-related materials and administrative supplies while maintaining organized records of requests and deliveries.
• Provide administrative support for program and event activities, helping teams stay aligned on timelines and deliverables.
• Monitor numerous assignments at once and adjust priorities as event needs change in a fast-paced setting.
• Use Microsoft Office tools to create documents, spreadsheets, reports, and communications that support event coordination efforts.
• Work closely with internal team members and external partners to help ensure smooth execution of meetings and conferences.
Qualifications:
• 3+ years of experience in administrative support, event coordination, or a similar program support role.• Demonstrated ability to manage event logistics, including materials preparation, shipping, and coordination of conference details.
• Strong proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
• Experience working in a permanent onsite position and handling responsibilities in a high-volume environment.
• Excellent organizational skills with close attention to detail and follow-through on deadlines.
• Ability to work independently while also collaborating effectively with a broader team.
• Familiarity with Cvent or similar event management platforms is preferred.
• Strong communication and multitasking skills with the ability to support several projects simultaneously.
