Compensation: $41.80 to $48.40 Hourly

We are looking for an experienced Executive Assistant to provide high-level support to senior leadership in Minnesota. This Long-term Contract position is ideal for someone who excels in a fast-moving environment, manages competing priorities with sound judgment, and works effectively with other administrative partners. The role focuses on coordinating executive schedules, travel, communications, and operational details while maintaining a high standard of discretion and professionalism.


Responsibilities:

• Partner with fellow executive support staff and the Chief of Staff to coordinate daily priorities and provide dependable coverage for leadership needs.

• Oversee a demanding executive calendar by arranging meetings, adjusting appointments, and resolving scheduling conflicts before they affect business priorities.

• Manage domestic and complex travel logistics, including flights, lodging, ground transportation, and detailed itineraries for executive leaders.

• Coordinate aircraft scheduling communications and ensure travel plans are clearly organized and shared with the appropriate stakeholders.

• Act as a central point of contact for meeting requests and scheduling communications, responding with professionalism and strong attention to timing.

• Support planning and execution for leadership meetings, executive offsites, and company events in partnership with the broader administrative team.

• Track deadlines and follow-up items that require input from leadership, keeping key partners informed of status, timing, and urgent actions.

• Maintain organized records, meeting notes, and sensitive executive documentation while safeguarding confidential information.

• Provide additional administrative support as needed to help the executive assistant team operate efficiently and consistently.


Qualifications:

• 5+ years of experience supporting senior executives or C-suite leaders in an executive assistant or comparable administrative role.
• Strong background in complex calendar management and coordinating high-volume executive meetings.
• Demonstrated experience arranging business travel, including multi-step itineraries and schedule changes.
• Proficiency with Microsoft Outlook for scheduling, communication, and inbox coordination.
• Experience with Concur Expense or similar expense management tools.
• Ability to handle confidential information with discretion, professionalism, and sound judgment.
• Strong organizational skills with the ability to manage shifting priorities in a fast-paced setting.

Compensation

$41.80-$48.40 Hourly
