Contracts Administrator
Our client, a respected public agency in the San Francisco Bay Area, is seeking an experienced Contracts Administrator to support its Procurement Office on a long-term contract basis. This role focuses on public sector contract administration, procurement coordination, and compliance, supporting the full contract lifecycle from solicitation through execution and ongoing administration. The ideal candidate has experience administering contracts in a public agency or similarly regulated environment and is comfortable partnering with legal counsel, vendors, and internal stakeholders to ensure procurement activities comply with applicable policies, regulations, and organizational standards. Responsibilities
- Administer the full contract lifecycle, including contract preparation, execution, amendments, renewals, and closeout.
- Prepare and coordinate Requests for Proposals (RFPs), Requests for Qualifications (RFQs), contracts, amendments, and related procurement documentation.
- Coordinate contract approvals and execution with legal counsel, vendors, and internal stakeholders.
- Maintain procurement records, contract files, and supporting documentation in accordance with established policies and procedures.
- Monitor contract compliance, expenditures, reporting requirements, and key contract milestones.
- Interpret procurement policies, procedures, and contract terms while providing guidance throughout the procurement process.
- Support procurement-related audits, compliance reviews, and quality assurance initiatives.
- Conduct research, prepare reports, and recommend process improvements related to procurement and contract administration.
- Collaborate with cross-functional teams to support procurement operations and special projects as assigned.
Qualifications:
- Bachelor's degree or an equivalent combination of education and relevant professional experience.
- Two or more years of experience in contract administration, procurement, purchasing, or public contracting.
- Experience supporting the full contract lifecycle, including drafting, administration, compliance monitoring, and contract documentation.
- Experience preparing or administering competitive solicitations, including RFPs and RFQs.
- Knowledge of procurement principles, contract administration, and vendor agreement processes.
- Strong organizational, analytical, and communication skills with the ability to manage multiple priorities and deadlines.
- Experience working collaboratively with legal teams, vendors, and internal stakeholders.
- Public sector or government procurement experience is strongly preferred.
- Professional procurement certifications (NIGP-CPP, CPPO, CPPB) are a plus.
Technical Skills
- Microsoft Office Suite
- Advanced Microsoft Excel, including PivotTables and VLOOKUPs
- Microsoft Word
- Experience with OpenGov or similar procurement management systems is preferred.
Additional Information
- Location: San Francisco, CA.
- Schedule: Hybrid work schedule with onsite training, followed by approximately 2–3 days per week onsite.
- Work Hours: 9/80 schedule, consisting of nine-hour workdays with every other Friday off.
- Duration: Approximately 6-month contract assignment with the potential for extension based on business needs.
Compensation
