Human Resources (HR) Assistant
About the Role
We are looking for a highly organized, proactive, and tech-savvy professional to support day-to-day operations, human resources functions, and recruiting efforts. This position plays a central role in keeping office workflows running smoothly, supporting continuous hiring, assisting with legal case management processes, and helping create a positive experience for team members, applicants, and new hires.
Key Responsibilities
Human Resources Support & Recruiting
- Manage full-cycle recruitment for legal, administrative, and operations roles, including job postings, candidate screening, phone screens, interview coordination, reference checks, and offer logistics
- Maintain and optimize the Applicant Tracking System (ATS) to ensure accurate candidate data and timely status updates
- Conduct initial candidate assessments and recommend qualified candidates to hiring managers
- Develop skills-based competency tests for applicants
- Partner on assessing staffing needs and hiring timelines
- Support employer branding efforts across multiple platforms and manage candidate engagement
- Assist with onboarding, orientation, I-9 completion, new-hire documentation, time and attendance, payroll, and benefits support
- Ensure compliance with applicable employment laws and internal policies
- Support training and development programs, including administration of the Learning Management System (LMS)
- Draft and circulate internal communications (policy updates, reminders, announcements)
- Help coordinate staff events, recognition programs, and morale initiatives
Reporting, Analytics & Systems
- Pull and prepare operational, HR, and performance reports from internal systems
- Monitor employee workload, case flow, and productivity metrics; identify trends, bottlenecks, and process-improvement opportunities
- Maintain leadership dashboards that track team performance and organizational health
- Administer the LMS, including content accuracy, enrollments, completion tracking, and compliance reporting
- Upload, organize, and update training modules and internal content
- Maintain clean, accurate data across case management, HR, ATS, LMS, and related systems
- Support data-governance practices (confidentiality, access controls, retention) and audit readiness
Qualifications:
Office Administration, Facilities & Employee Support
- Manage vendor relationships, contracts, renewals, and service performance
- Coordinate building maintenance, office supplies, equipment servicing, and related facilities needs
- Process invoices and track expenses for office vendors
- Provide day-to-day administrative support and help resolve operational issues
- Assist with performance tracking, corrective follow-up, accountability support, and record-keeping
- Supervise inventory levels and coordinate procurement of office and building supplies
- Support the effective use and troubleshooting of legal case management software and portals
- Manage calendars for firm-wide meetings, interviews, training sessions, and related scheduling
- Help plan staff meetings, events, recognition activities, and culture-building efforts
