Administrative Assistant
Responsibilities:
• Coordinate follow-up activities for outstanding service estimates related to both depot and field work to help maintain timely customer communication.
• Support the preparation and processing of pricing documents for service work and sales requests, ensuring information is accurate and complete.
• Manage inbound electronic inquiries from customers and internal teams, routing or resolving requests in an organized and timely manner.
• Assist with return authorization transactions and help update records for items scheduled for shipment or pending return activity.
• Respond to customer questions regarding shipment tracking, delivery progress, and order status with clear and thorough communication.
• Review older quotes, consumable opportunities, and inactive return cases to update records and close items that are no longer active.
• Identify completed orders linked to existing quotations and update opportunity statuses accordingly within company systems.
• Provide day-to-day administrative support to the sales customer service team, including data entry, record maintenance, and general office coordination.
Qualifications:
• Experience in administrative support, office coordination, customer service, or a similar business support role.• Ability to use Microsoft Office applications effectively, including Teams, Excel, Word, and PowerPoint.
• Comfortable learning new internal software platforms quickly and navigating multiple systems at once.
• Strong organizational skills with the ability to manage several tasks and shifting priorities throughout the day.
• Clear and detail-focused communication skills for handling customer inquiries and working with cross-functional teams.
• High attention to detail when entering data, updating records, and processing documentation.
• Self-motivated and adaptable, with a willingness to ask questions, learn new processes, and contribute as a team player.
Compensation
