Assistant Property Manager
Responsibilities:
• Coordinate day-to-day property activities across residential and commercial sites, including administrative tasks, vendor follow-up, and operational support.
• Monitor property expenses, assist with budget planning, track variances, and help maintain spending within approved financial targets.
• Support rent collection, invoice processing, account reconciliation, and routine financial reporting to promote accurate records and timely month-end activities.
• Respond to tenant questions and concerns, follow up on service issues, and help enforce occupancy policies to maintain a positive resident and tenant experience.
• Inspect vacant and occupied spaces as needed, arrange maintenance services, and oversee completion of repairs to keep buildings in strong condition.
• Assist with lease documentation by preparing agreements, coordinating renewals, and supporting negotiations for available space.
• Help maintain safe properties by coordinating security services, monitoring protective measures, and assisting with emergency response procedures.
• Work with internal teams and service providers to support building systems, scheduled maintenance, and property improvement projects.
• Promote compliance with applicable federal, state, and local regulations by maintaining documentation and escalating issues that require management attention.
Qualifications:
• 0-2 years of experience in property management, real estate operations, or a related administrative role.• Working knowledge of budgeting, forecasting, expense tracking, and financial analysis in a business or property environment.
• Experience with account reconciliation, financial reporting, ledgers, or accounting software.
• Strong customer service skills with the ability to communicate effectively with tenants, vendors, and internal stakeholders.
• High attention to detail and strong organizational ability, with skill in managing schedules, records, and multiple priorities.
• Proficiency in Microsoft Excel, Word, Outlook, and PowerPoint.
• Bachelor's degree in business administration, real estate, or a related field preferred.
• Familiarity with property management software is an advantage.
