Administrative Assistant
Robert Half is seeking a detail-oriented and organized Construction Administrator to provide administrative support for construction projects from initiation through completion. The Construction Administrator will assist project managers, coordinate documentation, maintain project records, process contracts and invoices, and ensure effective communication between clients, subcontractors, suppliers, and internal teams.
Key Responsibilities
Provide administrative support to project managers and construction teams.
Prepare, organize, and maintain project files, contracts, permits, and other documentation.
Process purchase orders, subcontract agreements, change orders, and invoices.
Track project schedules, budgets, and document deadlines.
Coordinate meetings, prepare agendas, and record meeting minutes.
Communicate with clients, subcontractors, vendors, and consultants regarding project documentation and updates.
Maintain accurate records of correspondence, RFIs (Requests for Information), submittals, and project reports.
Monitor insurance certificates, subcontractor compliance, and project documentation requirements.
Prepare reports, spreadsheets, and other project-related documents.
Support project closeout by organizing warranties, manuals, and final documentation.
Ensure confidentiality and accuracy of company and project records.
Qualifications:
2+ years of administrative experience, preferably in the construction industry.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
Strong organizational and time management skills.
Excellent verbal and written communication skills.
Ability to prioritize tasks and manage multiple projects simultaneously.
High level of accuracy and attention to detail.
Compensation
