Office Manager

Compensation: $80 to $100 Yearly

We are looking for an Office Manager to lead the financial and administrative activities that keep a CPA office running effectively. This position combines ownership of billing, receivables, payroll coordination, and daily office support in a fast-paced, team-oriented environment. The ideal candidate brings strong attention to detail, sound judgment, and the ability to manage both accounting-related tasks and operational priorities with confidence.


Responsibilities:

• Direct the full invoicing process for client services, preparing accurate billing documents and confirming charges are issued on schedule.

• Monitor outstanding receivables, post incoming payments, investigate account variances, and follow up on overdue balances until resolved.

• Administer semi-monthly payroll for a small employee population while maintaining confidentiality, accuracy, and adherence to required deadlines.

• Enter deposits, cash activity, and other routine financial data into QuickBooks and maintain well-organized accounting records.

• Review payment status tied to tax-related work and confirm electronic filings are released only after required client balances have been satisfied.

• Support bookkeeping and record maintenance across multiple business entities to ensure reliable financial documentation.

• Oversee office operations by managing supply levels, coordinating with service providers, and helping equipment and workplace resources remain functional.

• Assist with onboarding by organizing employment documentation, preparing workspaces, and coordinating orientation logistics.

• Maintain administrative files, office procedures, and internal records while identifying practical ways to improve efficiency.



Qualifications:

• Previous experience in office management, billing, accounting support in a CPA office environment.

• Working knowledge of accounts receivable processes, invoice management, and payroll administration.

• Proficiency with QuickBooks and confidence handling routine financial entries and reporting tasks.

• Strong organizational skills with the ability to manage multiple priorities and maintain accurate records.

• Clear written and verbal communication skills for interacting with leadership, employees, vendors, and clients.

• High level of discretion when handling payroll, employee information, and financial data.

• Comfortable supporting day-to-day office operations, including supply coordination and general administrative oversight.

$80,000.00-$100,000.00 Yearly
