Workplace Experience Ambassador 4
Responsibilities:
• Welcome tenants and visitors in a courteous and attentive manner, manage the reception area, and handle incoming calls while providing timely assistance.
• Respond to tenant questions and service needs, document requests accurately, and partner with engineering or other support teams to drive issue resolution.
• Coordinate maintenance-related work orders and follow up on open items to keep tenants informed on progress and completion.
• Support building operations through accurate filing, record organization, data entry, and upkeep of property-related documentation and databases.
• Prepare tenant notices, schedule meetings for tenants or internal staff, and assist with routine communications that support smooth day-to-day operations.
• Contribute to recurring building events and engagement activities by helping with planning, logistics, and on-site coordination.
• Assist with month-end reporting by compiling spreadsheets, updating summaries, and organizing operational or financial information for review.
• Process accounts payable tasks and, over time, take on accounts receivable responsibilities such as invoice support, coding, and related financial administration.
• Provide administrative support to the property management team, including document preparation, mail handling, and other office coordination duties as needed.
Qualifications:
• High school diploma or equivalent required; additional college education is helpful but not mandatory.• Previous experience in a customer-facing administrative, reception, property, or office support role.
• Strong interpersonal communication skills with the ability to interact professionally with tenants, visitors, vendors, and occasional client contacts.
• Demonstrated ability to stay organized in a busy environment with frequent foot traffic and multiple competing priorities.
• Working knowledge of Microsoft Office applications, including Word, Outlook, and Excel or similar spreadsheet tools.
• Experience supporting administrative processes such as scheduling, filing, data entry, and maintaining accurate records.
• Familiarity with accounts payable is preferred, and exposure to accounts receivable or property-related financial support is a plus.
• Experience with property management platforms such as Prism is advantageous, though training can be provided.
Compensation
