Executive Assistant
Responsibilities:
• Manage executive calendars, coordinate appointments, and prepare correspondence and business documents to support leadership activities.
• Organize meetings from start to finish by assembling agendas, distributing materials, documenting discussions, and monitoring action items.
• Develop reports, presentations, spreadsheets, and other administrative materials using Microsoft 365 tools.
• Serve as a primary point of contact for office visitors, incoming phone calls, mail, and package deliveries while maintaining a welcoming environment.
• Oversee day-to-day office administration by maintaining supply inventory, organizing records, and improving administrative workflows.
• Arrange travel logistics, reserve meeting spaces, coordinate catering, and support internal events and executive gatherings.
• Liaise with vendors and facilities contacts to address maintenance needs and keep building-related documentation current.
• Provide administrative assistance to teams such as Human Resources, Accounting, and Operations, while contributing to special projects as needed.
• Handle sensitive information with discretion and maintain confidentiality in all executive and organizational matters.
Qualifications:
• At least 1 year of administrative experience with strong attention to detail, or a combination of education and related office support experience.• Associate’s or Bachelor’s degree preferred, though equivalent practical experience will be considered.
• Demonstrated experience supporting executives, coordinating office operations, or managing high-volume administrative tasks in a detail-focused setting.
• Proficiency with Microsoft 365, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
• Strong ability to manage schedules, travel arrangements, reporting tasks, and multiple deadlines with careful attention to detail.
• Excellent written and verbal communication skills, with the judgment needed to work with confidential information.
• Experience collaborating with HR, Accounting, or Operations teams is preferred.
• Background in vendor coordination, facilities support, or nonprofit environments is a plus.
Compensation
