Sr. Administrative Assistant

Compensation: $24.70 to $28.60 Hourly

We are looking for a Scheduling Coordinator to support workforce scheduling and day-to-day administrative coordination for an organization in Minneapolis, Minnesota. This Long-term Contract position is ideal for someone who is organized, proactive, and confident managing staffing logistics for a large employee group while keeping scheduling data accurate and current. The person in this role will work closely with operations leadership, help maintain reliable coverage across teams, and contribute to smooth communication around staffing needs and schedule changes.


Responsibilities:

• Coordinate and maintain staff schedules for a workforce of approximately 70 employees, ensuring proper coverage across shifts and functions.

• Update scheduling systems each day to reflect absences, dropped shifts, missed shifts, and substitute assignments with a high degree of accuracy.

• Partner with operations leadership to manage scheduling priorities and support evolving administrative needs within the department.

• Communicate schedule changes, coverage needs, and staffing updates clearly and effectively to employees and internal stakeholders.

• Prepare routine operational reports and scheduling summaries to help leaders track staffing activity and identify gaps.

• Use Microsoft Office and scheduling platforms to organize records, monitor staffing activity, and support daily administrative workflows.

• Exercise sound judgment when handling communications related to union-represented staff, ensuring messaging remains appropriate and thorough.

• Take initiative in identifying process questions, clarifying expectations, and improving the consistency of scheduling coordination.


Qualifications:

• 3-4 years of administrative or scheduling experience, preferably supporting a large employee population.
• Prior experience creating or managing schedules for sizable teams in environments with frequent staffing changes.
• Strong systems aptitude with the ability to learn scheduling tools quickly and produce basic operational reporting.
• Proficiency with Microsoft Office Suite, including Outlook, Excel, and Word.
• Ability to work independently, stay organized, and follow through on tasks in a fast-paced setting.
• Strong communication skills with the judgment to handle sensitive staffing matters appropriately.
• Experience in hospitality, healthcare, or another service-driven environment is helpful but not required.

Compensation

$24.70-$28.60 Hourly
