Receptionist
Responsibilities:
• Welcome visitors and direct them appropriately, ensuring employees are promptly informed when guests arrive.
• Manage incoming calls and front desk activity while maintaining an efficient flow of communication throughout the office.
• Review and process new customer credit application paperwork with accuracy and timely follow-through.
• Receive, sort, and distribute mail and parcel deliveries, and prepare outgoing shipments through approved carriers.
• Check the company post office box and handle related postal pickups as part of routine office support.
• Prepare meeting documentation and complete general word processing tasks, including recording notes for Monday morning meetings.
• Support payroll distribution and assist with uniform ordering and shipment coordination for employees.
• Complete daily data downloads, assist with Friday ingredient inventory reporting, and scan and file bills of lading for the shipping team.
• Respond to customer concerns in a courteous manner, route issues to the appropriate contacts, and help maintain a positive service experience.
• Identify opportunities to improve front desk processes and provide additional administrative support as needed.
Qualifications:
• Prior experience in a receptionist, front desk, or administrative support role is required.• Ability to manage a multi-line phone system and handle inbound calls with professionalism and efficiency.
• Proficiency in Microsoft Office applications, including Word and Excel; spreadsheet experience is preferred.
• Familiarity with shipping, receiving, mail handling, and basic document filing practices.
• Strong organizational skills with the ability to manage multiple tasks and meet deadlines in a busy office environment.
• Comfortable performing physical tasks such as sitting for extended periods, moving throughout the office, and lifting up to 25 pounds.
• Ability to maintain attention to detail and use close vision, color vision, and focus adjustment for document-based work.
• Experience supporting HR administration, payroll-related distribution, reordering, or purchase order activities is a plus.
Compensation
