Senior Administrative Assistant
Our client, a growing biotechnology company in Del Mar, CA is seeking an experienced and detail-oriented Senior Administrative Assistant to provide high-level administrative support in a dynamic, fast-paced environment. This contract-to-permanent opportunity is ideal for a proactive professional who excels at managing multiple priorities, coordinating across departments, and maintaining confidentiality while supporting day-to-day business operations.
Key Responsibilities
- Provide administrative support to senior leadership and department managers.
- Manage complex calendars, schedule meetings, and coordinate conference rooms.
- Arrange domestic and international travel, including itineraries and expense reports.
- Prepare correspondence, presentations, reports, and meeting materials.
- Coordinate meetings, take meeting notes, and track action items.
- Process purchase orders, invoices, and expense reimbursements.
- Maintain organized electronic and physical filing systems.
- Assist with onboarding activities, office operations, and special projects.
- Serve as a liaison between internal teams, vendors, and external partners.
- Handle confidential information with professionalism and discretion.
- Support cross-functional teams while ensuring deadlines and priorities are met.
Qualifications:
- 4+ years of senior administrative or executive administrative experience.
- Previous experience in the biotechnology, pharmaceutical, healthcare, or life sciences industry is highly preferred.
- High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Strong organizational, multitasking, and time management skills.
- Excellent written and verbal communication skills.
- Ability to work independently while managing multiple priorities in a fast-paced environment.
- High level of professionalism, discretion, and attention to detail.
Preferred Qualifications
- Experience supporting multiple executives or cross-functional teams.
- Familiarity with ERP systems, expense reporting software, or document management platforms.
- Experience coordinating meetings, events, and travel logistics.
- Strong problem-solving skills and the ability to anticipate business needs.
Compensation
